Community Outreach Chairperson / Committee - Responsibilities/Job Description

This individual appointed to this position is responsible for organizing the chapter’s Community Outreach projects. Work with Education Committee Chairperson to develop opportunities to provide payroll related education to the general public. This effort may also be coordinated with the National Payroll Week Committee to concentrate these efforts during NPW. He/She must be a member in good standing with the APA / SVC.

  • Gather information and ideas from members to identify opportunities for the chapter to provide assistance to the local community through contributions or involvement in charitable events
  • Submit articles/announcements to the Secretary for the chapter newsletter. 
  • Work with the NPW committee for any community outreach type NPW projects.

Educational Outreach Chair / Committee -
Responsibilities/Job Description

Work with the Community Outreach and NPW committees to develop opportunities to educate the general public on payroll related topics.

  • Contact the local high schools asking for permission to come and teach their students about payroll related information.
  • Work with local colleges to offer PPLS classes. 
  • Submit articles/announcements to the Secretary for the chapter newsletter and the Website Administrator for posting.
  • Co ordinate the CPP Study Groups

PAST PRESIDENT

  • Past President's will assist and guide the board with the chapter's bylaws, it's integrity, intent and goals.
  • Insure that all policies and regulations of the American Payroll Association are heed to by the chapter and it's elected officers.
  • Immediate Past President will chair the annual SVC Payroll Person of the Year and fellow active past presidents will service on the committee.
  • Immediate Past President will chair the annual election committee.
  • Assists with the selection of the annual audit committee.

 

Membership Chair/ Committee -
Responsibilities/Job Description

This individual appointed to this position is responsible for organizing the chapter’s member list and keeping it up to date. He/She must be a member in good standing with the APA / SVC

  • Maintain the member list periodically verify information
  • Pursue opportunities to build chapter membership.
  • Send out communications in the form of a letter or email with confirmation of dues paid or due.
  • Personally approach “First Timers” at the chapter meeting to recognize and welcome them to their first chapter meeting.
  • Submit articles/announcements to the Executive Committee for the chapter newsletter. 

National Payroll Week Campaign- Chair / Committee - Responsibilities/Job Description

This individual appointed to this position is responsible for organizing the chapter’s NPW activities and is the principle liaison with APA National for all NPW-related communications. Getting all chapter members motivated to participate actively in NPW is a top priority. He/She must be a member in good standing with APA / SVC.

  • Encourage members to participate in NPW activities in the workplace and community by communicating with chapter members to offer ideas on how to participate and promote NPW.
  • Work with Community Outreach Committee and Educational Committee to coordinate activities during NPW and promote the chapter through community involvement
  • Forms a committee to establish the chapter’s plans for NPW
  • Work with website administrator to maintain and update NPW page on the chapter website.

Nomination & Volunteer Chair / Committee -
Responsibilities/Job Description

This individual appointed to this position is responsible for recruiting volunteers to serve on various committees including elections for board members. This person needs to be void of conflict of interest. This person cannot be of the nominees. This committee is to keep in touch with the chapter members, fit their expertise and interest with a project and keep track of all the volunteers to be recognized at meetings and in the chapter newsletter. He/She must be a member in good standing with the APA / SVC.

  • Ensuring that members of the chapter have the opportunity to serve in positions that match their expertise.
  • In the event that a member of the Nominations/Elections Committee is nominated for an Executive Committee position, the current Executive Committee will appoint a qualified chapter member to serve as a committee replacement for that election.
  • Organizing the Board of Directors nominees. Encourage members to nominate qualified chapter members for Executive/Board positions.
  • Recruit various chapter members for various projects via email, or at chapter meetings by visiting all the tables. Explain what is needed and ask if anyone is interested in volunteering.

Pennsylvania Payroll Person of the Year (PPPY) Committee 

This committee is usually the Past Presidents and the outgoing Payroll Person of the Year.

  • Encourage members at the June meeting to nominate qualified chapter members for the Pa. Payroll Person of the Year contest.
  • Select one person from the nominees submitted to be the chapters' official entry into the PPPY contest.
  • Submit the chapters' nominee to the appropriate individual of the Statewide Committee by the deadline.
  • Chairperson will serve as the chapter representative on the statewide PPPY committee.
  • Follow all PPPY rules and guidelines established for judging and submission of nominees.
  • Submit articles/announcements to the Secretary for the chapter newsletter and the website administrator for posting.

Statewide Chairperson / Committee - Job Description

The Statewide Chair is responsible for the coordination of SVC Statewide. He/She must be a member in good standing with the APA / SVC. Duties include but are not limited to….

  • Hold monthly meetings to organize committee chairs and work to be done. Committees that may be need are
    • Vendor committee
      • Send Initial letter to prospective vendors telling them about the event and detailing what their cost would be to participate.
      Advertising / Registration Advertising
      • Look into newspaper advertising costs and try to negotiate free or reduced rates
      Meeting Place
      • Get prices from surrounding hotels sites
      • Sign contract and secure meeting place
    • Set up/ Clean Up
      • Help with set up and tear down of  the decorations.
    • Speaker / Agenda Speaker
      • Provide speakers with topic ideas or secure topic ideas from potential speakers
    • Hospitality & Entertainment
      • Provide food, drink and/or entertainment for those attending the conference who will be  arriving the night or those in the local area who may want to meet and greet the attendees.

Study Group - Responsibility/Job Description

This person is to organize study groups for the CPP/FPC exams. He/She must be a CPP and a member in good standing with the APA / SVC. Keys to a successful study group are:

Getting Started

  • Start early
  • Explain this is the easiest and cheapest way to earn Recertification Credit Hours.
  • Notify the APA to put the meeting on their website.
  • Have lesson plans in computer file format

Facilitating the class

  • The first class should be used as a “get to know everyone”.
  • Get the students involved – Make it fun and interesting
  • Review the homework (questions in the back of the chapter)
  • Communicate with and encourage chapter members who are taking the CPP/FPC exams and maintain contact with them to obtain a list of members who passed so appropriate pins may be ordered.

Website / Vendor Relations Chair / Committee-

He/She must be a member in good standing with the APA / SVC.

  • Communicate with vendors (primarily payroll related) in the local area to promote the chapter.
  • Encourage vendors to become members of the chapter.
  • Collect information on a regular basis from President, Community Outreach (current project), Vice President (speaker), and all other chapter committees - then organize information to post on website.
